The Challenge
The company attended 10+ industry events per year. Sales reps collected hundreds of business cards at each event. Cards sat in desk drawers for 3-5 days before anyone manually entered them into the CRM.

Why This Was Not a Standard Project
Business card scanners output data in inconsistent formats. Names, titles, and phone numbers need cleaning before CRM import.
The automation needed to handle duplicate detection (the same person might already exist in HubSpot from a previous event or website visit) and merge data appropriately.
Technix built a Zapier integration that connected the card scanning app to HubSpot with data cleaning steps in between. Duplicate detection checked existing contacts before creating new ones. If a match was found, the workflow updated the existing contact with event attendance data instead of creating a duplicate.

The duplicate resolution logic handled the common scenario where a lead scanned at an event already existed in HubSpot from a previous website visit or campaign. Instead of creating a duplicate, the system updated the existing contact with event-specific properties (event name, date, booth visit) and enrolled them in the event follow-up sequence.
