The Challenge

Phone numbers entered into the CRM came from multiple sources (forms, imports, manual entry, integrations) in inconsistent formats: (555) 123-4567, +1-555-123-4567, 5551234567, 555.123.4567.

Sales reps wasted time reformatting numbers before dialing. Marketing campaigns with phone validation failed on non-standard formats. Analytics on contact data was unreliable due to duplicate detection failing on different phone formats.

Why This Was Not a Standard Project

HubSpot has no native phone number formatting capability. Standard workflows can set values but cannot parse, reformat, or standardize text fields.

The solution required custom coded workflow actions (HubSpot Operations Hub) that could receive any phone format, detect the country, and output E.164 standard format.

Technix wrote a custom coded action in Node.js deployed as a HubSpot workflow step. It handles 15+ input formats, detects country codes (defaulting to the contact's country property when no code is present), and outputs clean E.164 format. The workflow triggers on every contact create and every phone field update.

The country detection logic was the hardest part. When a phone number like '0412 345 678' is entered without a country code, the system needs to determine if this is Australian (+61), Indian (+91), or something else.

Technix used the contact's country property as the primary signal, with fallback to the company country, then IP country from form submissions. Only when all three were missing did the system default to the portal's primary country setting.

The automated standardization processes every new and updated contact in real time. 12,000 historical records were backfilled in under 4 hours with 100% E.164 compliance. Zero manual corrections needed post-deployment.
